This Isn't Your Typical Grad Job

Most entry-level facilities roles hand you a checklist and a filing cabinet. Here's the honest comparison.

The Usual Entry-Level Route

  • Fixed checklist, no say in how the work gets done
  • Years of manual paperwork before anyone asks your opinion
  • AI tools quietly discouraged, or not mentioned at all
  • Real responsibility arrives whenever the promotion cycle allows

Pinewood Gardens

  • A standing mandate to question and redesign how things run, from day one
  • Claude and Gemini as everyday working tools, not a grey area
  • A direct line into real Management Council decisions
  • A named path to full Condominium Manager — not a maybe

The Goal
Full Condominium Manager
The role you're actually being hired to grow into — with the Council and Managing Agent invested in getting you there.

What You'll Actually Do

Three parts to the job: keeping the estate running, supporting how it's governed, and modernising how both get done.

Site Operations & Maintenance

  • Visible, responsive point of contact for residents' enquiries and service requests.
  • Coordinate and supervise vendors — security, cleaning, landscaping, pest control, lifts.
  • Estate walkabouts and inspections; follow up on defects through to rectification.
  • Assist incident response for facilities issues, escalating appropriately.

Governance & Admin Support

  • Prepare quotations and procurement documentation for Council review.
  • Support the Chairman, Secretary, and Treasurer with minutes, circulars, and correspondence.
  • Assist with Council meetings, AGMs, and EGMs.
  • Monitor BMSMA and by-law compliance; support invoices and payment batches.

Innovation & Automation

  • Use Claude, Gemini and similar tools daily for drafting, summarising, and admin.
  • Identify manual, repetitive processes in iCondo or elsewhere.
  • Propose and build lightweight automations to streamline them.

Sound Like You?

Education — Diploma or Degree in Facilities Management, Real Estate, Building/Estate Management, Property Management, or a related built-environment discipline. Fresh graduates strongly encouraged — no prior full-time experience required.
  • Hands-on experience with AI tools such as Claude or Gemini — solving real problems, not just casual chat use.
  • A genuine innovator's instinct: you look at a workflow and ask "why is this still done this way?"
  • Strong communication skills; comfortable engaging residents, vendors, and council members.
  • Organised, detail-oriented, and reliable across multiple concurrent tasks.
  • Able to work independently and know when to escalate issues.
  • Willingness to attend occasional evening Council/AGM meetings.
